Managing Contacts and the Guided Intake Flow

Use the Contacts page to manage investor and advisor contacts, create contacts with portal access in one step, and onboard a contact, investing entity, and application in one guided flow.

The Contacts page (previously Accounts) is where you manage every person your team deals with: investors, advisers, active portal users, and prospects. This article explains the Contacts page, how to create a contact, and how to onboard a contact, an investing entity, and an application in one guided flow.


About contacts

Each contact is a person. A contact has:

  • Type: Investor or Advisor

  • Status: Active (has or can have a portal login) or Prospect (a lead with no portal access)

  • Last active: when the contact last used the Investor Portal


The Contacts page

  • In the navigation pane, select Contacts

  • The list shows the existing contact columns plus Type, Status, and Last active

  • Filter the list by Type and Tags

The Last active column shows one of three states:

  • A relative time, such as "3 days ago", for contacts who have signed in to the portal. Hover to see the exact date.

  • Invited · never signed in for contacts with portal access who have not yet logged in

  • No login for prospects and contacts without portal access

Create a contact

  • On the Contacts page, click Create contact

  • Choose whether the contact is an advisor. Advisors capture the advisor profile details as part of the form.

  • Choose the contact's status:

    • Active: creates the contact with portal access and sends them an email invite to set a password. No separate conversion step is needed.

    • Prospect: creates a contact with no portal login. You can invite them to the portal later.

  • Complete the personal details and save


Advisor prospects

An adviser you are courting, with no holdings yet, can be held as a contact with Type = Advisor and Status = Prospect. Use the Type filter to find them for outreach.


The guided intake flow

The guided intake flow walks you from a contact to an investing entity to an application in a single pass, without visiting separate pages. It opens from three places:

  • Create contact on the Contacts page

  • Create entity on the Investing Entities page

  • Create application on a capital raise (the offer is pre-filled)

Steps

  1. Contact: search for an existing contact or create a new one, including the advisor and status choices above

  2. Investing entity: select an existing entity under the contact or create a new one, including entity type, jurisdiction fields, tax details, and related parties

  3. Application: shown when the flow is linked to a capital raise. Enter the fund, capital raise, class, amount, and classification; pre-filled where possible.

  4. Review and confirm: a summary groups everything the flow will create versus link to existing records

Nothing is created until you select Confirm on the review step. On confirmation, the records are created in order and linked, and you are linked through to each created record.

Note: Orders created through the flow are tagged Guided Intake, so you can filter for them in order tables.

Note: If a step fails partway through, the records already created remain in place and the flow resumes from the failed step.


Converting existing prospects

Existing prospects keep the Convert to Account action. Conversion is one way: a prospect becomes Active and gains a portal login, and cannot be reverted to a prospect.
