Caruso's Fund Admin Agent helps you find information, review data, and manage day-to-day tasks directly within the Admin App. It uses your platform data to provide contextual answers, so you can spend less time searching and more time managing your investors.
The Fund Admin Agent is available to all Caruso platform users with no additional setup or configuration required. If your team is already using Caruso, you can start using the Agent immediately.
Opening the Fund Admin Agent
Click the Agent button in the top navigation bar of the Admin App
The Fund Admin Agent panel will open on the right-hand side of the screen
Starting a Conversation
You can begin a conversation in two ways:
Type a question or request into the message field at the bottom of the panel and press Enter or click the send button
Use a suggested prompt by clicking one of the quick-start options displayed in the panel
Mentioning Entities
You can mention specific entities in your message to give the Agent immediate context. Type @ in the message field and begin typing to search across:
Funds
Investing entities
Capital raises
Accounts
Prospects
Selecting an entity provides the Agent with the correct record directly, which improves response speed and accuracy by removing the need for a search step.

When you first open the agent, you will see a selection of suggested prompts to help you get started. These include:

What You Can Use the Fund Admin Agent For
The Fund Admin Agent can help with a range of tasks across the Admin App. Below is an overview of its current capabilities.
Registry Queries
The Agent filters and analyses registry data to answer holding and transaction-related questions without spreadsheet exports. You can ask it questions using natural language, such as:
"Who holds more than 5% of @Fund Name?"
"Which investors have outstanding capital commitments?"
"Show me all holding movements for @Fund Name during the last quarter"
"List the 5 most recent accounts created"
Compliance Insights
The Agent surfaces compliance information that would normally require clicking through multiple investor profiles or exporting reports. It can identify:
Investors with expired wholesale accreditations
PEP (Politically Exposed Person) matches
Missing AML/KYC information
This helps compliance teams flag gaps before they become audit findings.
Custom Reporting
Request data in any format. The Agent restructures, reformats, and exports the result as a CSV directly from the interface. No predefined templates are required.
Redemption Processing
The Agent can process redemption requests in two ways:
From a document: Upload a paper-based redemption form and the Agent will extract investor details, match the request to the correct holding, and create the redemption order in Caruso
In bulk: Create redemption requests across funds or classes based on a percentage of holdings or a fixed dollar amount apportioned to each investor
Distributions
The Agent creates distribution batches, calculating pro-rata amounts across investors based on your distribution rules. It drafts the distribution, including investor notices and payment files, for your review before finalising.
Trust Deed Processing
Upload a trust deed and the Agent will identify the investing entity, the trustee, beneficial owners, and related parties. It can then either create the relevant related-party records in Caruso or compare them to the records already on file, highlighting any discrepancies.
Investor Research and Meeting Preparation
The Agent analyses investor holdings, transactions, notes, documents, and communications to build a complete picture of any investor ahead of a meeting or review. You can also ask it to draft an email to a targeted group of investors, such as your top ten investors for a new opportunity.
General Tasks

Uploading Documents
You can upload documents directly into the Agent chat to extract information or ask questions about their content.

The Agent will read the uploaded document and respond based on its content. This is useful for reviewing trust deeds, analysing certificates, extracting data from spreadsheets, or asking questions about any uploaded file.
Supported file types include PDF, DOC, DOCX, XLS, XLSX, PNG, and JPG.
Note: Documents uploaded in chat are used within the current conversation only. To make documents searchable across all conversations, upload them to the relevant record in the Admin App.
Document Search
The Fund Admin Agent can search across documents stored in your Caruso platform. Documents uploaded to investing entities, accounts, and other records are automatically processed and indexed, making their content searchable through the Agent.
You can ask the Agent questions like:
"What are the redemption terms in the trust deed for [Fund Name]?"
"Find the wholesale certificate for [Investor Name]"
"What does the partnership agreement say about distributions?"
The Agent searches by meaning rather than exact keywords, so you can describe what you are looking for in plain language.
Note: Document search covers documents that have been uploaded to records within the Admin App. Newly uploaded documents may take a short time to become searchable.

Your previous conversations are listed in the History panel on the left side of the agent
Click on any previous conversation to revisit it
To start a fresh conversation, click the + button next to the History heading
Permissions and Access
The Fund Admin Agent operates under the same permissions as the logged-in user. It cannot access data or perform actions beyond what you can already do in the Admin App.
If your account does not have permission to create allocation requests, the Agent cannot create them on your behalf
The Agent respects all existing role-based access controls, including data visibility and download restrictions
Your organisation's administrator can request to enable or disable Agent access for specific users. If you need Agent access adjusted for yourself or a team member, contact the Caruso Support team via email or live chat.
Note: After any permission changes are made to your account, refresh the page for the updated permissions to take effect.
Usage and Costs
Each tenant receives up to USD $150 of free credit per week, or USD $600 of free credit per month, while the Agent is in beta
Usage is measured in tokens, which are consumed each time the Agent processes a request or generates a response
Longer or more complex queries will use more tokens than shorter ones
Once you reach your weekly or monthly credit limit, the Agent will be unavailable until the following period. A message will appear prompting you to upgrade

Tips for Best Results
Be specific with your questions. For example, ask "List my overdue tasks" rather than "Show me tasks"
Include relevant details such as date ranges, fund names, or entity names to get more accurate responses
Use the @ mention feature to reference specific funds, investors, or accounts directly
You can ask follow-up questions within the same conversation for additional detail
If a response does not look right, try rephrasing your question or providing more context
Data Handling and Privacy
The Fund Admin Agent interacts with a large language model via a commercial API governed by strict data handling terms that are separate from, and more protective than, consumer-grade AI products. Your data is never used to train AI models, is not retained by the model provider, and remains protected within Caruso's ISO 27001:2022-certified security framework.

Learn more about our data protections
No model training on your data. Under our commercial API agreement, customer inputs and outputs are never used to train or improve the model provider's generative models. The data you send and the responses you receive exist solely to serve your request and are not fed back into any training pipeline.
Zero data retention. Caruso operates under a zero-data-retention arrangement with our model provider. This means that prompts and responses are not persisted on the provider's infrastructure beyond the immediate processing of each request. No conversation history, customer records, or investor data is stored on the provider's servers after a response is returned.
Data in transit, never at rest. All communication between Caruso's backend and the model provider's API is encrypted via TLS. Because data is not retained by the provider post-processing, there is no customer data at rest on third-party AI infrastructure to be exposed, subpoenaed, or breached.
Your data stays within Caruso's security perimeter. The Fund Admin Agent runs as a service inside Caruso's VPC and is subject to the same authentication, authorisation, monitoring, and audit logging as every other Caruso service. Any customer or investor data required to fulfil an AI-assisted task is retrieved from authorised internal sources and monitored by our Guardrail system.
These protections operate on top of Caruso's ISO 27001:2022-certified information security framework, ensuring that the introduction of AI capabilities does not alter the trust and compliance posture our clients depend on.
