Tags let you categorise and group records across the Caruso Admin App. You can apply tags to Accounts, Investing Entities, Related Parties, Funds and Classes, then use them to search and filter your records. Each tag has a name and a colour, making it easy to identify groups at a glance.
How tags work
Tags are specific to the type of record they belong to. A tag created for Accounts, for example, is only available on Accounts, not on Investing Entities or Funds. This means you can reuse the same tag name across different record types while keeping each one separate.
Once a tag is applied, it appears as a coloured badge on the record and on the list view for that record type. Tags can then be used as filter options when searching your records.
Creating a tag
You can create a tag in two ways: directly from a record (or list page), or from the Tag Management page in Settings.
Option 1: Create a tag from a record or list page
Option 1: Create a tag from a record or list page
In the navigation pane, select the module you want to create a tag in (Accounts, Investing Entities, Related Parties, Funds or Classes)
In the tags column, or the tags area on a record, click Add tag
Start typing the tag name
If the name does not match an existing tag, select the Create [name] tag option
Choose a colour from the preset options
The tag is created and applied straight away
Note: New tags are created inline from a record or list page. The Tag Management page is used to view, edit and delete tags, not to create them.
Option 2: Create a tag from configuration
Option 2: Create a tag from configuration
In the navigation pane, select Configuration
Click Tags tab
Click Add tag
Enter the following details:
Tag Name (must be unique within the object type)
Object Type (Accounts, Investing Entities, Related Parties, Funds or Classes)
Tag colour
Click Confirm
Applying a tag to a record
To add a tag to an individual record:
In the navigation pane, select the relevant module, such as Investing Entities.
Select the record you want to tag
In the Tags column, click Add tag.
In the popover, search for the tag you want, or browse the Frequently used and All tags sections
Tick the checkbox next to a tag to apply it.
Untick a checkbox to remove a tag.
Changes are reflected immediately on the record. Applied tags appear as coloured badges in the header panel.
Note: If a record has more tags than can be shown, the extra tags collapse into a +N badge. Hover over the badge to see the remaining tag names.
Applying tags in bulk
You can apply or remove tags across many records at once.
In the navigation pane, select the relevant module.
Use the checkbox next to ID to select all records on the current page, or use the individual checkboxes to select specific records you want to tag.
Click "Actions" to Change or add tag in the action bar
In the popover, search for a tag or browse the Frequently used and All tags sections
Tick a tag to apply it to all selected records, or untick it to remove it from all selected records
Tip: You can also create a new tag during a bulk action. Type a name that does not match an existing tag, select Create [name] tag, choose a colour, and it will be applied to all selected records.
Filtering records by tag
Once tags are applied, you can use them to filter your records.
Open the relevant list module (Accounts, Investing Entities or Related Parties)
Apply the tag filter and select one or more tags
The list updates to show records that match the selected tags
Tip: To reset your view, click Clear all to remove all filters and search text at once.
Editing a tag
In the navigation pane, select Configuration
Click Tags tab and search for the tag you want to edit
Click the ellipsis (...) on the right-hand side and select Edit
Edit the tag name or colour as needed
Click Confirm
Note: A tag name must be unique within its object type, and can be up to 100 characters. The object type cannot be changed once a tag has been created.
Deleting a tag
In the navigation pane, select Configuration
Click Tags Tab and search for the tag you want to delete
Click the ellipsis (...) on the right-hand side and select Delete
Review the details on the confirmation pop-up, which shows how many records the tag is currently applied to
Click Confirm
Important: Deleting a tag removes it from every record it was applied to. This action cannot be undone.
The Tag Management page
The Tag Management page (Configuration > Tags) gives you a single view of all your tags. The table shows:
Tag name: The tag, displayed as a coloured badge
Object: The record type the tag belongs to
No. Objects: The number of records the tag is currently applied to
You can sort each column, search tags by name, and filter by object type. Use this page to keep your tags tidy and to review how widely each one is used.
Using Tags in Reports
Tags can also be used in reporting to help you analyse and group your records efficiently. Because a report includes a tag column alongside details such as portfolio value, holdings, account manager and location, a tag becomes a way to segment your data and review each group against every other field.
To run a report:
In the navigation pane, select Reports
Select the report you want to run
Click Download to export the data
Once downloaded, you can filter or sort by tag to view related groups, such as high-value investors or accounts pending verification. From there you can:
Compare portfolio values and holdings across a tagged group
Build targeted mailing or contact lists, for example everyone tagged for postal-only statements
Spot gaps and exceptions, such as high-value accounts with no assigned account manager or no open tasks
Track a group over time by running the same report regularly and comparing the results
Tips
Use a consistent naming approach so tags stay easy to find as your list grows
Review the No. Objects count on the Tag Management page to spot tags that are no longer in use
The same tag name can be reused across different record types, as each object type keeps its own set of tags
