Adding an Account to an Investing Entity and Updating a Key Account

How to add accounts and set or update the key account for an investing entity in the Caruso Admin App.

Written by Cyran Castelino

In Caruso, each investing entity requires a key account upon setup. The key account serves as the main point of contact and automatically receives updates regarding compliance obligations and investments associated with the entity.

Add an Account to an Investing Entity

  • Navigate to the relevant investing entity

  • Click on the Accounts tab

  • Select Add Account, then search by name for an existing account to link to the investing entity

  • Choose the Access level for this account on the investing entity:

    • Full Access (default) - the account can view the investing entity in the Investor Portal and act on it, including investing, requesting redemptions, and adding bank accounts

    • Read-only - the account can view the investing entity's holdings, documents, and statements in the Investor Portal, but cannot invest, redeem, or make any changes. Relevant actions are greyed out with a message explaining they don't have permission

  • Use the Notify by email toggle to control whether the account receives an email about being added (on by default)

  • Click Confirm

If Notify by email is on, the selected account will receive an email confirming they have been added to the entity. The email copy reflects the access level chosen - a Full Access account receives the standard welcome email, while a Read-only account receives a variant explaining they have been given read-only access. If Notify by email is off, the account is still linked to the entity, but no email is sent.

Note: You can change an account's access level at any time using the Access dropdown directly in the Accounts list — no need to open a separate dialog. No email is sent when access is changed on an existing link — only when an account is first added.

The Accounts list also includes an Emails column for each linked account. This is a multi-select dropdown covering four categories of ongoing investing entity communications:

  • Orders and Holding Movements

  • Distributions

  • Holding and Tax Statements

  • Updates and Reports

Use this dropdown to control which categories of emails about this investing entity the account receives going forward. This is separate from the one-off Notify by email toggle used when adding the account, and from the account's own Portal Access & Compliance and Marketing email settings, which are managed on the account's own record rather than per investing entity.

Tip: The entity header shows a No. Accounts tile with a count of all linked accounts. Click it to jump straight to the Accounts tab.

Update the Key Account

  • In the Accounts list, find the account you want to set as the key account.

  • Click the ellipses (...) next to the account.

  • Select Set as key account.

  • Once confirmed, an email notification will be sent to the previous key account holder informing them of the change.

  • The updated key account holder will now be visible in the Accounts list and in the fund banner details.

Note: Only one key account can be assigned per entity at a time. When the key account is updated, the previous account will remain linked to the entity but will no longer be the primary contact.
