Caruso's File Converter tool simplifies creating the prescribed Inland Revenue (IRD) reports for IR854.
Note: By submitting your IR854 "Investor Certificate PIE Return", the IRD Portal automatically generates the IR853 "Annual Reconciliation PIE Return", which provides an aggregate overview.
Supported Version
Caruso supports the latest IRD File Upload Specification, version 0005, applicable for periods from 1 April 2020.
Reporting Period
The IR854 return is due annually by 15 May.
Before You Start
Make sure the following data is up to date in Caruso for the reporting period:
PIE fund IRD numbers (Registration Numbers) recorded against each fund.
Investor PIR rates for every investing entity holding units in a PIE fund.
Investor IRD numbers for every investing entity holding units in a PIE fund.
The converter will flag missing values during validation, but updating them upfront avoids interruptions.
Instructions for Reporting
Download "All Distribution Details" report – In the navigation pane, go to Reports and download the All Distribution Details report for the relevant financial year. The report shows all distributions broken down to granular distribution components including gross, tax withheld and net amounts. This is a global view of the individual distribution audit reports.
Use the File Converter
Navigate to the File Converter section in the Admin App.
Select the IR854 / IR853 Converter.
Upload your report – Upload the report to transform it into the required IRD format.
Note: The converter filters for PIE funds and investing entities that earned a distribution during the reporting period. You can choose to include all PIE funds and all investing entities within them, even if no distributions were paid during the period.Validatoin
PIE Fund IRD numbers – The file converter will prompt you to update a fund if it is missing the IRD number (Registration Number)
Investor data - The file converter will prompt you to update any investors that are missing PIR rates or IRD numbers.
Preview data – Review the converter's preview of imported data and a filtered view of PIE investors included in the IRD submission.
Download submission files – Generate the files ready for direct submission to the IRD.
Test your file – Use the IRD's file test facility to validate your submission before final upload.
Supported Investment Income Reporting Types
Investment income reporting through the IRD's file upload service enables payers to send investment income information more frequently and with more detail for a specific reporting period. The myIR file upload service is available for the following withholding tax product types:
Approved Issuer Levy (AIL)
Dividend Withholding Tax (DWT)
Interest Pay As You Earn (IPS)
Non-Resident Withholding Tax (NRT)
Resident Withholding Tax (RWT)
Portfolio Investment Entities (PIE) attributed income

IR852 Periodic Return
The IR852 (PIE Investor Account Details) is a quarterly return required for Portfolio Investment Entities (PIEs). Native IR852 generation is not yet supported in Caruso, but the Fund Admin Agent can prepare part of the required fund-level data in the interim.
Note: Native IR852 support is on our roadmap. We will update this article when it becomes available.
Preparing the IR852 in the interim
The IR852 is a fund-level return with 39 required fields, as defined by the IRD PIE Returns File Upload Specification (Version 0004). The Fund Admin Agent can populate 5 of the 39 required fields. The remaining 34 fields must be sourced from your fund accounting or unit pricing system and completed manually before submitting via IRD myIR.
Fund Admin Agent prompt
Enter the prompt: Generate an IR852 PIE Periodic Return data extract for the period ending 20260331 (31 March 2026).
Scope: Include all funds with a fund structure of Multi-rate PIE.
Instructions: Using the attached CSV template (IR852-template.csv), return one fund-level row per fund. Populate the following fields only — leave all other fields blank:
PIE Name — use the Fund Name
PIE IR Number — use the Fund Registration Number
Period End Date — use 20260331
Total Investment Asset Value — use the total NZD value of all investor holdings in the fund as at 31 March 2026
Resident Withholding Tax — use the total tax withheld on distributions during the period from 1 January 2026 to 31 March 2026 where the withholding type is Withholding Rate. Exclude any amounts withheld at PIE rate or any other rate.
Output:
Output the result in CSV format using the column headers from the attached template. Do not add any additional columns"
