CRM Activity gives you a timeline of engagement and record changes across your investor base. Activity is always recorded against the record where it happened — a contact or an investing entity — and each of those records has its own Activity tab. A master view brings everything together in one place.
A contact is a person you engage with, either an investor or an adviser. Every contact is either active or a prospect, and it is that state, rather than whether they are an investor or an adviser, that determines what you can do with them.
Insight from the Activity Feed
Across the feeds, you can see:
Email engagement — what your team sent, and whether it was delivered and opened
Notes and documents — what has been recorded against the record
Meetings and calls your team logs — recorded by hand, so the relationship history sits alongside the automatic activity
Capital raise engagement — how contacts are engaging with open capital raises: viewing the offer, downloading the IM or PDS, and starting an application. A started application stays on the feed even if they do not finish it, so you can follow up on the ones that stall. On a capital raise's own Activity tab, this engagement appears for the contacts holding an expression of interest in that raise
Related party verification — when a related party completes identity verification
Order updates — where an investment application or other order has got to
The Activity Feeds
There are five places to read activity. They all draw on the same events and differ only in what each is scoped to.
Feed | Where to find it | What it shows |
Master activity | Activity under CRM in the navigation pane | Everything, across your whole organisation. The Record Type filter can be used for narrowing to active contacts, prospect contacts, or investing entities |
Capital raise activity | Activity tab on a capital raise | A full view of everyone engaged in an expression of interest on the raise — all activity by every contact holding a current EOI. Contacts without an EOI do not appear; their activity is on their own contact Activity tab |
Investing entity activity | Activity tab on an investing entity | Activity against the entity itself |
Active Investor or Adviser activity | Activity tab on an active contact | That contact's own activity — your outreach, calls, meetings, emails, notes and documents |
Prospect Investor or Adviser activity | Activity tab on a prospect contact | The same as an active contact, for a contact who has not yet invested |
What Each Feed Is Scoped To
Two scoping rules explain most of what you will and will not see.
An investing entity feed is not a roll-up of its contacts. Engagement with a person stays on that person's record. So an email sent to an investing entity appears on the feed of each contact who received it rather than on the entity, and meetings and calls are logged against the contact, not the entity.
A capital raise feed follows the book build. It is a full view of everyone engaged in an expression of interest: it covers the contacts holding an expression of interest in that raise — investors or advisers, active or prospect — from the date their expression of interest was created, so it reads as the raise's own history rather than each person's full history. Because it shows engagement with people, investing entity events such as investment application and identity verification activity do not appear there.
Activity Types
Every item is badged with one of five Types, so you can tell at a glance what kind of activity it is:
Communications — outreach by your team
Interactions — what the contact did
Notes — notes on the record
Documents — documents and statements on the record
Updates — record status and workflow changes
Communications items also carry a Subtype of Email, Call, or Meeting, so you can separate a phone call from an email without reading every row. The other Types do not use subtypes.
Note: An email your team sends is a Communications item. What the contact then does with it, such as opening or clicking it, is an Interactions item, because it records the contact's behaviour rather than your team's outreach.
Logging a Meeting or Call
You can record meetings and calls directly against any contact, active or prospect:
In the navigation pane, select Accounts or Prospects
Use the search or filters to find and select the required record
Click Log activity, then select Add meeting or Log a call
For a meeting, select the Meeting type, set the Date, and add an optional Note:
In Person – a face-to-face meeting
Video – a video call or online meeting
Event – a group occasion such as a webinar, client event, or conference. Record the specifics in the note
For a call, select the Call direction — Outbound for a call your team made, or Inbound for one you received — set the Date, and add an optional Note.
The date defaults to today. You can log a future date, but you will see a warning before saving.
Once saved, the meeting or call appears on the record's activity feed as a Communications item with the Meeting or Call subtype, and Modified By set to the teammate who logged it. You can edit or delete a logged meeting or call later, and those changes are captured in the audit log.
Note: Logging an activity is not the same as adding a note. Use Log activity to record a meeting or call that took place. Use Add Note for general information you want to keep on the record.
Note: Meetings and calls are always logged against a contact, so Log activity appears on contacts only, never on an investing entity. If a meeting concerns an investing entity's affairs, log it against the contact you met with and capture the entity context in the note.
Reading and Filtering the Activity Feed
Every feed uses the same table — Activity Date, Associated Record, Type, Activity, and Modified By. Rows are newest first and show the Last 30 Days by default; widen the date range to see more.
Use the filters above the table to narrow the feed:
Type – limit the feed to one or more of the five types
Subtype – limit Communications items to Email, Call, or Meeting. Type and Subtype selections apply together
Status – Delivered, Bounced, Opened, or Clicked. Selecting a status automatically limits the feed to email items
Modified By – limit the feed to activity by particular teammates
Date range – choose a preset period or set your own
Combining filters answers specific questions. For example, set Modified By to a teammate, Subtype to Call, and the date range to this month to see every call that teammate logged this month. Or set Status to Bounced to find every bounced email in the period.
Click an email row to open the message. Every row is written to make sense on its own, so an item reads the same way in the master view as it does on the record it came from.
Exporting Activity
Click Export at the top right of the table to download what you are looking at. The export respects whatever filters you have applied, or exports everything when none are set.
Export is available on the master activity view.
