How to create a task on the Caruso admin app

Caruso's task management system helps you assign, track, and complete work across your team. Tasks can be assigned to specific teammates or teams, ensuring clear ownership and accountability for compliance, investor relations, and investment management activities.

How task assignment works

Tasks in Caruso can be assigned at two levels:

  • Team assignment — tasks assigned to a functional team for triaging, such as Investor Relations or Compliance

  • Teammate assignment — tasks assigned to an individual teammate

Automatic task assignment

When Caruso generates tasks automatically, they are assigned to a default team based on the task type:

Task type

Default team

Confirm allocation request

Investor Relations

Review buy order

Investor Relations

Review sell order

Investor Relations

Complete secondary market transfer

Investor Relations

Verify bank account

Investor Relations

Unit transfer request

Investor Relations

Verify accreditation

Compliance

You can reassign tasks to different teams or teammates at any time.

Creating Tasks

You can create tasks in three ways, depending on where you are in the Admin App.

Option 1: Create a Task via the Tasks Tab

  • In the navigation pane, select Tasks

  • Click + Create task to open the Create Task side bar

  • Complete the following fields:

    • Task title – Provide a clear, recognisable title

    • Type – Select the task type from the dropdown

    • Priority (optional) – Choose the priority level

    • Assign to team – Select the team responsible for the task

    • Assign to teammate – Allocate the task to an individual teammate

    • Associate with (optional) – Link the task to an account or investing entity

    • Due date (optional) – Set a completion deadline

    • Note (optional) – Add extra context or instructions (up to 500 characters)

  • Click Confirm to create the task

Option 2: Create a Task Within an Investing Entity

  • In the navigation pane, select Investing Entity

  • Select the relevant investing entity

  • Click the Tasks tab

  • View outstanding Investor Portal notifications and existing Admin App tasks

  • Click Create task to add a new task

  • The task will automatically be associated with the investing entity.

Option 3: Create a Task Within an Account

  • Navigate to the relevant account.

  • Click on the Tasks tab.

  • View outstanding investor portal notifications and existing admin app tasks.

  • Click Create task to add a new task

  • The task will automatically be associated with the account.

Tip: The number displayed on the task counter in the navigation pane shows the total tasks currently assigned to you.

System-generated tasks

Caruso automatically creates tasks based on investor and admin actions. These tasks help ensure important requests are actioned promptly.

Tasks generated from Investor Portal actions:

  • Confirm allocation request

  • Review buy order

  • Review sell order

  • Verify bank account

  • Verify investing entity accreditation document

  • Verify beneficial owner address document

  • Verify address verification document

  • Verify investing entity document

Tasks generated from Admin App actions:

  • Complete secondary market transfer

  • Unit transfer request

  • Verify accreditation

Tasks generated from Investor Portal actions are automatically set to High priority to ensure rapid response to investor requests.

Use the Assigned Team filter to view tasks for specific functional teams:

  • Advisory

Sort and filter tasks by priority level:

  • Urgent

  • High

  • Medium

Managing tasks

Add documents to a task

  • Open the task

  • Click Add Document

  • Upload the relevant file

Documents appear under the Documents tab within the task. This is useful for attaching supporting documentation or evidence.

Add a note to a task

  • Open the task

  • Click Add Note at the top right

  • Enter your comment and click Confirm

Notes provide an audit trail and context for task progression.

Mark a task as complete

  • Click the ellipsis (...) at the top right

  • Select Mark Complete

System-generated tasks are automatically completed when the underlying action is finished.

Revert a completed task to in progress

  • Open the completed task

  • Click the ellipsis (...) at the top right

  • Select Mark In Progress

Note: This option is only available for tasks you have created manually. System-generated tasks cannot be reverted.

Link related tasks

You can link tasks together to show relationships and dependencies:

  • Open the task

  • Navigate to the Related Tasks tab

  • Click Relate Task

  • Select the task you want to link

Use this feature to connect related workflows or show task dependencies.

Best practices

  • Use clear, descriptive task titles so teammates can quickly understand what action is needed

  • Set due dates for time-sensitive tasks to ensure they are completed on schedule

  • Add notes to provide context, especially when reassigning tasks to other teammates

  • Regularly review unassigned tasks to ensure nothing falls through the gaps

  • Link related tasks together to maintain visibility of connected workflows
