How to Create and Manage Task Templates

Task templates let you save a standard task once and reuse it, so a recurring request such as a monthly unit price check is raised the same way every time. A Super Admin builds the templates in Settings, and anyone creating a task can pick one to pre-fill

Prerequisites

  • You need the Super Admin role to create, edit, retire or reactivate templates

  • Any admin who can create tasks can pick a template when creating one

  • Templates fill in the Category and Description fields on the Create task form, so these need to be available in your organisation

Create a task template

  • In the navigation pane, select Settings

  • Select Task Templates

  • Click Add template

  • Complete the template fields:

    • Title: the task title that will be used every time the template is picked

    • Description: instructions for whoever picks up the task. The description supports headings, bold text, lists and checkboxes

    • Category: the request category the task belongs to

    • Priority: Urgent, High, Medium, Low or No priority

    • Associated record: an account or investing entity to link the task to (optional)

    • Due in: the number of days after the task is created that it falls due. Leave blank for no due date

    • Assign to team: the team the task lands with

    • Assign to teammate: an individual teammate (optional)

  • Click Confirm

The template is now active and appears in the Template field on the Create task form.

Tip: Keep titles consistent. Templates are listed A to Z by title, and titles may repeat, so a clear naming pattern such as "Monthly: Unit price check" makes the list easier to scan.

Edit a template

  • In the navigation pane, select Settings, then Task Templates

  • Click the template you want to change

  • Update the fields and click Confirm

Note: A template only fills in the form at the moment a task is created. Editing a template does not change tasks that were already created from it.

Retire or reactivate a template

  • In the navigation pane, select Settings, then Task Templates

  • Click the ellipsis (...) on the template row

  • Select Retire to remove the template from the Create task form, or Reactivate to bring a retired template back

Retired templates stay in the list so you can reactivate them later. Tasks already created from a retired template are not affected.

Create a task from a template

  • In the navigation pane, select Tasks

  • Click + Create task

  • In the Template field, search for and select a template

  • Every field fills in from the template. Check the details and change anything you need to

  • Click Confirm

The due date is set to today plus the template's Due in days. If the template names a teammate who is no longer active, the teammate field is left empty.

Note: The Template field only appears when your organisation has at least one active template.

Tips

  • Use a template for any task that is raised more than once a month, so the title, category and instructions stay the same between people

  • Put the checks the task needs in the description as a checklist, so the person picking it up can tick them off on the task

  • Retire a template rather than deleting the detail from it, so you can bring it back if the process returns

  • Templates do not yet carry sub-tasks. Add sub-tasks to the task after it is created
