Creating and Managing Related Parties

How to add and manage related parties

You can add related parties to an investing entity directly within the Admin App. Caruso supports many-to-many relationships, which means you can search for and reuse existing related party records across multiple investing entities, or create new ones as needed.


Step 1: Access the Investing Entity

  • In the navigation pane, select Investing Entity

  • Select the relevant investing entity.

  • Click on the Related Parties tab.

  • On the right, click the + icon to add a new related party.


Step 2: Search for an Existing Related Party

When adding a related party, you will first be prompted to search for existing records. This helps avoid creating duplicates when the same person or entity is already in Caruso.

  • Enter the name or other details to search

  • Review the list of matching results

  • Click Show more to view additional details about a related party before selecting

  • If you find the correct record, select it to proceed
    ​


Step 3: Configure the Relationship

After selecting an existing related party, or when creating a new one, you will be asked to configure the relationship:

  • Relationship: Select one or more relationship types (e.g. Director, Shareholder, Trustee). If multiple relationships apply, they will be displayed together

  • Notes: Add any relevant context about this relationship, such as special instructions, the date they became inactive, or reference information

  • Exempt from IDV: For individual related parties, toggle this on if they are exempt from identity verification for this specific investing entity

Click Confirm to save the relationship.


Creating a New Related Party

If you cannot find an existing related party, you can create a new one:

  • Click Create new related party

  • Select the Entity Type (Individual, Company, Partnership, or Trust)

  • Complete the required fields, which vary based on the entity type

For Individual Related Parties

  • Enter the individual's name and contact details

  • An email address is required if you want to request identity verification

  • You can optionally link this related party to an existing contact record

For Entity Related Parties

  • Enter the entity name and relevant details

  • You can add related parties to this entity later to build out the ownership structure

After entering the details, configure the relationship and notes as described above, then click Confirm.

Note: When you create a new related party, a new tab will open with their full record so you can add additional details such as date of birth, tax residency, and documents.


Viewing the Related Party Tree

The Related Parties tab on an investing entity displays a tree view showing all related parties and their relationships:

  • The tree shows parent and child relationships visually

  • Each row displays key information including relationship type, verification status, and notes

  • Individual related parties show additional details such as email and phone number


Managing Related Parties

Click the ellipsis (...) next to any related party to access the following actions:

For All Related Party Types

  • Edit: Update the relationship type and notes for this specific investing entity

  • Remove: Remove the relationship between this related party and the investing entity

Note: Removing a related party from an investing entity does not delete the underlying related party record. They will still exist in Caruso and remain linked to any other investing entities.

For Individual Related Parties

  • Request verification: Send an identity verification request to this individual

For Entity Related Parties

  • Add related party: Add a sub-item to build out the ownership structure beneath this entity


From the Related Parties Module

You can also manage related parties directly from the global Related Parties list:

  • In the navigation pane, select Related Parties

  • Search for the related party and click into their record

  • From here you can:

    • Edit their core details such as date of birth, tax residency, and contact information

    • Delete the related party by clicking the ellipsis (...) in the top-right corner

    • Add documents by clicking Add document in the top-right

    • View the KYC tab to review verification status, send a verification request, or manually verify identity

    • View the Documents tab to see uploaded documents

    • View the Investing Entities tab to see all investing entities this related party is linked to


Viewing a Related Party's Investing Entities

Each related party record includes an Investing Entities tab that shows:

  • A table of all investing entities this related party has a relationship with

  • The relationship type and notes for each

  • Quick navigation to each investing entity

This provides a centralised view of everywhere a related party appears in your investor base.


Linking Related Parties to Contacts

Individual related parties can be linked to contact records. This is useful when the same person has both a contact record (for investor portal access) and a related party record (for compliance purposes).

To link a contact:

  • Open the individual related party record

  • In the header, click Link Contact

  • Search for and select the contact

  • Click Confirm

The linked contact will appear in the related party's header for easy navigation.


Requesting Contact Details

If contact details are missing for related parties on an investing entity, you can request them from the key contact:

  • Go to the investing entity's Related Parties tab

  • Click the Request all contact details icon

  • Confirm to send an email to the key contact, prompting them to provide the required information


Tips

  • Always search for existing related parties before creating new ones to avoid duplicates

  • Use the Notes field to record important context about each relationship

  • The Investing Entities tab on a related party record provides a complete view of their relationships across your investor base

  • Verification completed on an individual related party applies across all investing entities they are linked to
