Create, customise, and send batch investor emails in Caruso

Caruso's Email Communications feature allows fund managers to create and send batch emails to investors or accounts directly from the Admin App. You can design, preview, and confirm emails before they are sent, making it simple to keep your investor base informed.


Step 1: Create a Batch Email

  • In the navigation pane, select Communications.

  • Click Create Email Batch in the top-right corner.


Step 2: Set Up Your Email

When creating a new batch email, you will be asked to complete the following fields:

  • Sender – By default, a system email address is available to all tenants.

  • Template – Select a template for your email. The template you choose affects both the email layout and which recipients will receive the email.

Default template: A blank template with basic content blocks for text, images, buttons, and links. Use this template for general announcements or communications that should reach your entire selected audience.

Fund template: A template for communications targeted at investors in a specific fund. When you select this template, you will be prompted to search for and select a Fund.

  • The template exposes fund-specific variables you can insert into your email content, including the fund legal name and display name, and each investing entity's holdings in the fund, such as unit class, unit count, value, and unit price.

Distribution template :A template designed for distribution-related communications. When you select this template, you will be prompted to select a Fund and a Distribution.

  • The template exposes distribution-specific variables you can insert into your email content, such as distribution name, payment date, fund details, and per-investor distribution amounts (gross, tax withheld, net).

  • Audience type: Select your recipients. The options available depend on the audience type you chose:

    • Investing entities: all investing entities, or selected investing entities

    • Accounts: all accounts, or selected accounts

  • Tags (optional) – Apply filters and organise recipients according to your internal needs. Note: Tags are only available when using the Default template.

  • Name – Assign a name to your batch email for easy reference. This name is used as the default email subject line, which you can update in the next step.

  • Email category: Choose the category for this batch. This is required and controls who receives the email. The available categories depend on the audience type:

    • Investing entities: Orders & Holding Movements, Distributions, Holding & Tax Statements, or Updates & Reports

    • Accounts: Portal Access & Compliance, or Marketing

After entering this information, click Save & Continue. A draft of your email will be created, which you can return to and update at any time. You will then be taken to the customise template page.

Note: Caruso builds the recipient list from your chosen audience, then removes anyone whose preferences do not include the selected category. For an investing entity batch, the email reaches each linked account only if that account has the chosen category switched on. For an account Marketing batch, it reaches only accounts with the Marketing list on. Portal Access & Compliance emails are always delivered. See How to Manage Communication Preferences.


Step 3: Customise the Template

  • Add a subject line for your email.

  • Update the content, including headings, body text, and images.

  • Personalise messages by inserting variables.

    • Use the toolbar button called "Add Variable" to insert variables directly.

  • Edit the existing call-to-action button or add a new one by clicking the rectangle icon on the toolbar. You can update the button label and add a link to direct investors to the desired page.

  • For bulk target recipients, you can send a test email to yourself to review the formatting and content before sending.

    • Note: This option is not available for individual accounts or investing entities.

  • When you are satisfied, click Save & Continue.


Step 4: Confirm and Send

Once your email is ready:

  • Preview the email per recipient to confirm how personalised fields display.

  • Click confirm when you are satisfied.

  • Review the summary

  • Schedule a send date and time

  • Click Confirm to send the batch email.


Unsubscribe Link

When a recipient clicks Unsubscribe in a marketing email, they are taken to a Caruso-hosted page to confirm, with no login required. Once confirmed, the account's Marketing list is turned off automatically, and the change is visible immediately on the account's Details tab, marked as changed via the unsubscribe link.

Note: To re-subscribe an account, turn the Marketing list back on from the account's Details tab. For more detail on managing preferences and unsubscribes, see How to Manage Communication Preferences.
