Create, customise, and send batch investor emails in Caruso

Caruso's Email Communications feature allows fund managers to create and send batch emails to investors or accounts directly from the Admin App. You can design, preview, and confirm emails before they are sent, making it simple to keep your investor base informed.


Step 1: Create a Batch Email

  • In the navigation pane, select Communications.

  • Click Create Email Batch in the top-right corner.


Step 2: Set Up Your Email

When creating a new batch email, you will be asked to complete the following fields:

  • Sender – By default, a system email address is available to all tenants.

  • Template – Select a template for your email. The template you choose affects both the email layout and which recipients will receive the email.

Default template

A blank template with basic content blocks for text, images, buttons, and links. Use this template for general announcements or communications that should reach your entire selected audience.

When you select "All Accounts" or "All Investing Entities" with this template, the email is sent to all accounts or investing entities you have selected, regardless of their holdings or distribution history.

Distribution template

A template designed for distribution-related communications. When you select this template, you will be prompted to select a Fund and a Distribution.

The template exposes distribution-specific variables you can insert into your email content, such as distribution name, payment date, fund details, and per-investor distribution amounts (gross, tax withheld, net).

Important: When you select "All Accounts" or "All Investing Entities" with this template, the email is only sent to accounts where the associated investing entity had a holding in the selected distribution. Recipients without a holding in the distribution will not receive the email.

  • Target recipients – Choose to send to:

    • All accounts

    • Selected accounts

    • All investing entities

    • Selected investing entities

  • Tags (optional) – Apply filters and organise recipients according to your internal needs. Note: Tags are only available when using the Default template.

  • Name – Assign a name to your batch email for easy reference. This name is used as the default email subject line, which you can update in the next step.

After entering this information, click Save & Continue. A draft of your email will be created, which you can return to and update at any time. You will then be taken to the customise template page.


Step 3: Customise the Template

  • Add a subject line for your email.

  • Update the content, including headings, body text, and images.

  • Personalise messages by inserting variables.

    • Use the toolbar button called "Add Variable" to insert variables directly.

  • Edit the existing call-to-action button or add a new one by clicking the rectangle icon on the toolbar. You can update the button label and add a link to direct investors to the desired page.

  • For bulk target recipients, you can send a test email to yourself to review the formatting and content before sending.

    • Note: This option is not available for individual accounts or investing entities.

  • When you are satisfied, click Save & Continue.


Step 4: Confirm and Send

Once your email is ready:

  • Preview the email per recipient to confirm how personalised fields display.

  • Click confirm when you are satisfied.

  • Review the summary

  • Schedule a send date and time

  • Click Confirm to send the batch email.


Unsubscribe Link

All batch emails include an unsubscribe link in the footer. When a recipient clicks the unsubscribe link, it opens a pre-populated email addressed to your team, notifying you that the recipient would like to unsubscribe. You can then manually update the recipient's communication preferences in Caruso.
