Communication preferences control which emails an investor receives from your fund. Caruso now gives you granular control at two levels: per investing entity, where you choose which categories of investment communications each account receives, and per account, where you manage account-level lists such as Marketing.
This replaces the previous on or off setting, so you can, for example, keep an account subscribed to distribution notices while opting them out of general fund updates.
The two levels of preferences
Investing entity email preferences: Applied to each account attached to an investing entity. These control the investment communications sent for that entity, grouped into four categories.
Account communication lists: Applied to the account itself, across the whole platform. These control account-level emails, such as portal access, compliance, and marketing messages.
Setting investing entity email preferences
Each account linked to an investing entity has its own email preferences for that entity. You control these from the entity's accounts list.
In the navigation pane, select Investing Entities
Select the relevant investing entity
Go to the Accounts tab
In the Emails column, click the cell for the account you want to update
Select the categories that account should receive, then click away to close the dropdown
Your changes save automatically when the dropdown closes, and a confirmation message appears.
The four categories are:
Orders & Holding Movements: Applications, unit issuance, transfers, redemptions, secondary market activity, and capital call confirmations
Distributions: Distribution payment notifications and adjustments
Holding & Tax Statements: Periodic financial statements and tax statements
Updates & Reports: Fund document uploads, fund updates, and capital raise launch communications
Note: The Emails cell shows None in red when no categories are selected, All in green when all four are selected, and the category names when some are selected.
How email preferences affect delivery
When a communication is sent for an investing entity, Caruso delivers it to every account attached to that entity whose preferences include the relevant category. An account with a category switched off will not receive communications in that category for that entity.
You can set preferences independently for each account, so different contacts on the same investing entity can receive different communications.
Note: If a category has no subscribing account across the investing entity, a yellow warning banner appears above the accounts table. This is advisory only and does not block your changes, but it means communications in that category will not reach anyone for that entity. Review the accounts before sending.
Managing account communication lists
Account-level lists apply to the account across the platform, separately from any investing entity. You manage these on the account record.
In the navigation pane, select Accounts
Select the relevant account
Go to the Details tab
Scroll to the Email lists section
Two lists are shown:
Portal Access & Compliance: Password resets, account access changes, security notifications such as MFA, and AML and KYC notices. This list is always on and cannot be turned off, so it is shown for reference only.
Marketing: Marketing campaigns, fund newsletters, and broadcast announcements. This list can be turned on or off.
Each list shows when it was last changed and by whom.
Unsubscribing an account from marketing
You can unsubscribe an account from marketing emails in two ways.
Option 1: Turn off the Marketing list in the admin app
In the navigation pane, select Accounts
Select the relevant account
Go to the Details tab and scroll to the Email lists section
Toggle Marketing off
Confirm your change in the pop-up that appears
The account will no longer receive marketing campaigns or broadcast announcements. They continue to receive investment communications based on their investing entity preferences, and all Portal Access & Compliance emails.
Option 2: The investor unsubscribes from a marketing email
Every marketing email includes an Unsubscribe link in the footer. When an investor clicks it, they are taken to a Caruso-hosted page to confirm, with no login required.
Once confirmed, the account's Marketing list is turned off. The change is visible immediately on the account's Details tab, marked as changed via the unsubscribe link.
Note: To re-subscribe an account, turn the Marketing list back on using Option 1.
Targeting a communication by category
When you create a communication batch, you choose an audience and a category so that only the intended recipients are included.
In the navigation pane, select Communications
Start a new communication batch
Select the Audience type, either investing entities or accounts
Select your recipients
Choose the email category
The available categories depend on the audience type:
Investing entities: Orders & Holding Movements, Distributions, Holding & Tax Statements, or Updates & Reports
Accounts: Portal Access & Compliance, or Marketing
Because these categories match the investing entity email preferences, Caruso builds the recipient list from your chosen audience and then removes any account that does not have the selected category switched on. For example, a distribution-related communication targeted at all investing entities only reaches accounts with Distributions enabled.
Note: The email footer is set automatically based on the category. Marketing emails include an unsubscribe link, while investment and compliance communications do not.
Tips
Review the coverage warning banner on the investing entity accounts list before a send. If a category is uncovered, communications in that category will not reach anyone for that entity.
Preferences are set for one account at a time, so check each contact on an investing entity when you need consistent delivery.
Portal Access & Compliance emails, including security and AML and KYC notices, are always delivered and cannot be turned off.
